Description

The position will be a mix of administrative duties, clinical system administration, welcoming patients at the reception, dealing with online and telephone enquiries.

This would suit someone who thrives in a busy environment.

This is a full time position 37.5 hours per week.


Work pattern (negotiable):

  • Monday 8:15 – 18:00 (9.25 hours)
  • Tuesday 8:15 - 18:00 (9.25 hours)
  • Wednesday – College (7 hours)
  • Thursday 8:15 – 15:00 (5.75 hours)
  • Friday 8:15 - 14:30 (5.25 hours)


Main duties may include the following:

  • Dealing with patients queries
  • Booking appointments
  • Processing referrals
  • Processing repeat prescriptions requests
  • General IT administration


Duties include:

  • Processing incoming and outgoing mail
  • File and store records as required
  • Photocopy documentation as required
  • Process letters as requested
  • Data entry of new and temporary registrations and relevant patient information
  • Scanning of patient related documentation and attaching scanned documents to patients healthcare records
  • Process referrals to external agencies such as secondary care
  • Input data into the patients healthcare records as necessary
  • Action GP2GP tasks
  • Process referrals using the electronic referral system (ERS)
  • Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms
  • Process incoming e-test results, ensuring they are referred to the relevant clinician
  • Read code data on SystmOne
  • Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
  • Manage all administrative queries as necessary
  • Carry out system searches as requested
  • Maintain a clean, tidy, effective working area at all times
  • Support all clinical staff with general administrative tasks as requested
  • Support reception staff, providing cover during staff absence
  • Book appointments
  • Management of repeat prescriptions, ensuring they are processed accurately and efficiently
  • Complete opening and closing procedures in accordance with the duty rota

· GCSE grade 4/C in Maths and/or English (previous qualifications will determine apprenticeship level).


You will be required to attend Exeter College on day a week (during term time) from March working towards your Level 2 Customer Service or Level 3 Business Administrator apprenticeship.
