Description

The HR Administration Apprentice will work closely with the HR Advisor Team and complete administration tasks related to, but not limited to, recruitment, onboarding, absence and invoicing as well as maintaining accurate records on systems. The role will involve working collaboratively with the wider HR Team and business, ensuring effective communication.


1. Provide the first line of contact and support to the Council for general HR queries, sign posting and/or providing information including templates, forms and system user guides as appropriate.

2. Assist the HR Advisor Team with managing employee records, filing correspondence and information on electronic systems. Ensuring all records are accurate and up to date.

3. Assist the HR Advisor Team with processing and distributing correspondence in relation to employees’ contractual arrangements and training needs.

4. Assist the HR Advisor Team with administrative duties throughout the employee lifecycle including updating system records when an employee has left the organisation and liaising with the Payroll Team.

5. Assist the HR Advisor Team with completing Occupational Health referrals and associated correspondence.

6. Provide administrative support internally and externally, including (but not limited to) processing invoices, provision of eye vouchers and provision of stationery under the guidance of HR Advisor Team Lead.

7. Assist the HR Advisor Team with the end to end recruitment process, including sign posting managers to the correct forms to begin recruitment, posting jobs on our website and Indeed, collating information, helping to draft contracts and offer letters, completing Right to Work Checks and making ID badges.

8. Assist the HR Advisor Team with maintaining accurate and up to date records of employee training and DBS records.

9. Processing Access Badge Requests, taking guidance from the HR Advisor Team Lead where required.

10. Work with the HR Advisor Team to manage room bookings.

11. Support HR Advisor Team Lead with ad-hoc project work and requests.

12. Any other duties that commensurate with the role.

  • IT literate with experience of using Microsoft Outlook, Teams, Word, Excel.
  • Understanding of, ability to learn using different IT systems.
  • Excellent organisation skills

  • 4 GCSE’s (or equivalent) at Grade C/Grade 4 and above, including English and Maths.

You will attend Exeter College one day a week (during term time) to work towards your Level 3 HR Support apprenticeship.

This apprenticeship provides a Level 3 HR qualification and experience for a foundation for a career in HR. ECC currently have a structure including HR Advisors and HR Business Partners above this role which could be a potential progression opportunity in the future. ECC may also be able to offer further CIPD qualifications.
